Fireflies.ai review (2026): the team system, and what the bot costs you

Fireflies.ai is a team meeting system: Fred joins the call, recordings live in Fireflies' cloud, and transcripts can sync to a CRM. A sourced review of the security posture, the Enterprise HIPAA gate, and who should skip it.

Fireflies.ai is what you buy when the meeting notes have to land in the rest of the company. Fred joins the call, the recording and transcript live in Fireflies’ cloud, and the point of the product is that the team can search them and push them into a CRM. That is a real system, and for revenue teams it is often the right one.

It is a poor description of Fireflies to call it a notepad. The bot, the stored recording, and the cloud are the product. If you wanted notes that never leave your laptop, you are in the wrong aisle.

Who Fireflies is for

Fireflies is for a team. Shared workspace, admin controls, CRM sync, and a place where someone else’s call is findable later. Sales, customer success, and any group that treats meetings as a pipeline of records rather than a private conversation.

A solo practitioner who searched “is Fireflies safe” because of client or patient calls is often looking at the wrong tier. The controls they need are written down, and they are not on the plan most individuals buy. More on that below.

What Fireflies does well

It is a system. Every meeting the team runs can be transcribed into one searchable place, shared, and pushed into the CRM. Granola’s Business plan adds sharing. Fireflies is organised around the organisation. We lay that split out in Granola AI vs Fireflies.

The security writing is specific. SOC 2 Type II. GDPR. Encryption for notes and transcripts. A flat statement that Fireflies does not train its model on your data. Zero-day retention agreements with the speech and language-model vendors that touch content, under signed BAAs. Specific claims are easier to check than mood-setting ones, and Fireflies publishes specifics. That is a point in its favour.

Enterprise paperwork. Private storage, custom retention, and the HIPAA BAA live on the top tier. If a compliance team needs a contract, Fireflies has a tier that offers one. The tier matters, which is the next section’s whole point.

How it works

Fred joins the call. Audio is processed and stored on Fireflies’ servers. Recordings and transcripts live in Fireflies’ cloud. The product does not work offline, including the CRM sync it is built around. There is no local mode hiding in the settings. Cloud is the architecture.

Fireflies states that data is saved for at least 12 months unless you delete it. Deleting a meeting is described as immediate. Deleting an account is described as irreversible within 30 days. Twelve months is a floor, not a promise that data vanishes on its own. The safety post quotes this carefully.

Privacy and compliance

For general business use, the published posture is stronger than most of the category. The structural fact does not move: your meetings are on Fireflies’ infrastructure, in US cloud by their own documentation, until you delete them.

HIPAA is Enterprise only. Free, Pro, and Business are not the HIPAA plan. Fireflies says the HIPAA-compliant version is available on request, and the signed BAA sits with private storage and custom retention on Enterprise. A therapist or consultant on Pro who assumed the marketing line covered them does not have a BAA. We map that in which AI notetakers are HIPAA compliant and in HIPAA and AI note takers.

Private Notetaker does not claim HIPAA certification. We never receive the audio, because transcription and summaries run on the device. That is not a badge. Check what your profession actually requires.

Who should skip Fireflies

Skip it if the bot changes the meeting. Skip it if you will not use the CRM, the shared search, or the admin controls, because you would be renting a team system for a personal notepad. Skip it if the recording cannot live on a vendor’s servers for a year by default. Skip non-Enterprise plans for protected health information.

Stay if the team needs the system and the meetings are ordinary business. Fireflies is good at that job.

When Private Notetaker is the better fit

Private Notetaker is the fit when the output you want is a transcript, a summary, and action items, and the constraint is that the audio stays on the computer. No bot. No cloud processing. It works offline, on Mac (Apple Silicon) and Windows.

Pricing is $15 a month or a $149 lifetime license, with a 7-day trial and no card required. You can pay monthly. The lifetime license is how you avoid an ongoing subscription.

You give up Fred’s whole reason for existing. There is no CRM sync, no shared workspace, and no organisation search. English only. Worse on noisy audio than Fireflies’ server models. If the team has to see the call, buy Fireflies.
