Privacy Policy

The short version

The Private Notetaker app is designed so that your recordings, transcripts, and notes are processed and stored on your own device. The app does not upload your meeting content to us. This website collects only what you give us (an email address) plus optional analytics and ad-click measurement — and in regions where consent is required, those only run if you say yes. You can change your mind anytime via Cookie settings in the footer.

What the app processes

Audio capture, speech-to-text, and AI summarization run locally on your computer. Your meeting content stays in files on your device. We do not have a server that receives, stores, or can access your recordings, transcripts, or notes.

License activation — the app's entire network surface

Private Notetaker has no analytics, no telemetry, and no tracking. The only times the app ever contacts our servers are license checks, and here is exactly what they send:

  • Free trial: nothing. The trial runs entirely on your machine and makes zero network calls.
  • Lifetime license: exactly one activation call when you enter your key. It sends your license key, a random installation identifier, your platform (e.g. "macos-aarch64"), and the app version. After that, a lifetime license never contacts our servers again.
  • Monthly subscription: the same activation call once, then a re-verification roughly weekly, sending only the license key and the random installation identifier.

The installation identifier is a one-way hash of a random per-install value. It encodes nothing about your machine, your identity, or your hardware, and a fresh install generates a new one. License checks never include meeting audio, transcripts, summaries, titles, participant names, filenames, hostnames, or hardware identifiers.

What this website collects

  • Emails you give us: joining the waitlist or starting a trial download stores your email address (processed by Netlify Forms) so we can deliver what you asked for — product news or the download. Trial downloads also receive a short series of setup and product emails over the following week, sent via Resend; every one carries an unsubscribe link and one click ends it. A notification with the submitted details is relayed to us via Telegram. Buying does not go through us: checkout happens on Stripe, which collects the email it needs for your receipt and license key. No newsletters, no selling your address to anyone.
  • Attribution data: those forms also record which page you landed on and standard campaign parameters (utm tags and ad click identifiers) so we know which ads work. In regions where consent is required, this is only remembered between pages if you allowed Advertising in Cookie settings.
  • Analytics: Google Analytics (loaded via Google Tag Manager) shows us which pages people visit and where signups come from. Runs only with your Analytics consent where consent is required.
  • Advertising measurement: Google Ads (and possibly Meta in the future) measurement tags tell us whether ads lead to signups. Runs only with your Advertising consent where consent is required, and never when your browser sends the Global Privacy Control signal.

Checkout happens on stripe.com, which sets its own cookies under Stripe's privacy policy. Withdrawing consent removes what we set and stops everything optional from loading.

Lawful bases (GDPR)

  • Consent — analytics and advertising storage (Art 6(1)(a); withdrawable anytime via Cookie settings).
  • Contract — delivering your download, license key, and purchase (Art 6(1)(b)).
  • Legitimate interests — form spam filtering and fraud prevention (Art 6(1)(f)).

Who we share data with

Only service providers that make the site and product work — never buyers of your data:

  • Netlify — hosting and form processing.
  • Stripe — payments (we never see your card details).
  • Supabase — license service (key delivery and activation checks).
  • Google — analytics and ads measurement, only after consent where required.
  • Resend — email delivery: your license key after purchase, and the trial follow-up emails you opted into. Every one has an unsubscribe link.
  • Telegram — an internal notification to us containing the email and attribution details you submitted in a form.

International transfers

We are a US company, so form submissions are processed in the United States. Our major processors (Google, Stripe, Netlify) participate in the EU-US Data Privacy Framework or use Standard Contractual Clauses for transfers from the EU/EEA and UK.

Retention

Form entries are kept for as long as needed to deliver what you asked for (early-access contact, downloads, license support) and deleted on request. If you unsubscribe from the follow-up emails we keep only the record that you opted out, so we do not email you again. Your consent choice is stored for 12 months, then we ask again.

Your rights — EU/EEA, UK, Switzerland

You have the rights of access, rectification, erasure, restriction, portability, and objection under the GDPR and equivalent laws. Withdrawing cookie consent is as easy as giving it: footer → Cookie settings. For anything else, email ben@solarfunnels.com — we answer within a month. You can also complain to your local supervisory authority.

Your rights — US states

Depending on your state, you may have rights to access, delete, and correct your personal information, and to opt out of "sale", "sharing", and targeted advertising. We don't sell personal information. To opt out of targeted-advertising measurement, use Your Privacy Choices in the footer — and we honor the Global Privacy Control signal: if your browser sends GPC, advertising measurement is off automatically, no clicks needed. For access, deletion, or correction requests, email ben@solarfunnels.com. We will not discriminate against you for exercising any of these rights.

Changes

If we materially change how tracking works, we update this page and re-ask for consent where it is required — your previous choice does not silently carry over.
