The 6 best Mac Note Taker alternatives in 2026

Mac Note Taker records and transcribes on an Apple Silicon Mac, with no bot. Summaries use Ollama or your own key, and there is no Windows app. The right alternative depends on which limit you hit: Mac only, summaries that need Ollama or your own key, or a licence that does not cover Windows.

Disclosure: we make Private Notetaker. Pandecho and Meetily were checked the same day. Talat, MacWhisper, and Granola were checked against each vendor's pages on 16 September 2026.

1. Private Notetaker: the private, on-device pick

The full workflow runs locally on your Mac or Windows PC: recording, transcription, and AI notes with decisions and action items. Nothing is uploaded, it works in airplane mode, and no bot ever appears in your meetings. $15/mo or $149 once for a lifetime license, with a 7-day free trial, no card required. If you need Windows, or you want the summary model bundled so there is no Ollama install and no API key, this is the closer fit. If you only use Apple Silicon Macs, want three activations on one licence, and you are happy running Ollama, Mac Note Taker is the better tool.

2. Pandecho

Pandecho is a real local peer: transcript, summary, decisions, and action items on a Mac or Windows PC, with no bot, and a lifetime licence. The on-device model works offline. The difference is narrower than a cloud comparison. Pandecho's FAQ says on-device transcription uses Parakeet V3 for English and major European languages, and summaries can optionally go through your own ChatGPT account. Another section of the same page says local Whisper. Private Notetaker is English only, has no cloud summary switch, and is $15/mo or $149 once, with a 7-day trial and no card.

Price: $10/mo for 1 device, or $79 / $149 / $399 once for 1 / 3 / 10 devices · Free tier: Free trial, with no day count published · Compare with Private Notetaker

3. Meetily

Meetily is the open-source answer, and it is a real one. The Community Edition is free and MIT-licensed, the code is public, and Mac and Windows installers exist. Transcription runs on the machine, with no bot. Summaries go wherever you point them: a local model such as Ollama keeps the text on the device, and an API key sends the transcript to that provider. The homepage also titles the product Meetly AI. Private Notetaker is closed source. It bundles the summary model on the device, with no provider to configure, on Mac and Windows.

Price: Free Community Edition (MIT); Pro $10/user/mo billed annually · Free tier: Community Edition is free (MIT), with no usage caps · Compare with Private Notetaker

4. MacWhisper

MacWhisper is a strong local transcription app, and it is Mac only. It records calls without a bot and runs Whisper on your Mac. Structured meeting notes are a separate step: a local model you set up, or a cloud provider with your own API key. Private Notetaker is the meeting-notes pipeline, transcript plus summary and action items, on a Mac or Windows PC, with no API key.

Price: Free version; Pro is a one-time purchase (EUR 64) · Free tier: Free version with the smaller models · Compare with Private Notetaker

5. Talat

Ten hours of free recording with no account before you pay, then a subscription or a lifetime licence. Built around live on-device transcription of meetings, dictation, and recordings, with recordings, transcripts and notes kept in a local database. Summaries are written by the app's built-in AI by default.

Platforms: Mac (macOS 15+, Apple Silicon) and Windows 10+ · Price: $9/mo or $189 once · Site: talat.app

6. Granola

Granola got the bot-free part right. But your meeting audio is still processed by cloud AI models, so the privacy story ends at your network cable. We keep the whole pipeline on your device.

Price: Free Basic; Business $14/user/mo; Enterprise $35/user/mo (checked 2026-09-16) · Free tier: Free plan with limited note history · Compare with Private Notetaker

Common questions

What is the best Mac Note Taker alternative for Windows? +

Private Notetaker. It runs on Windows (64-bit) and Mac, with transcription and summaries on the device and no bot. $15/mo or a $149 lifetime license, with a 7-day trial and no card required. Pandecho is the other on-device Mac and Windows notetaker, at $10 a month or a per-device lifetime licence. Meetily has Windows installers if you want open source and will set up a summary model.

Is there a Mac Note Taker alternative whose summaries are bundled on the device? +

Yes. Private Notetaker ships the language model that writes notes and action items. There is no Ollama step and no API key. Pandecho's default summaries are also on-device, with an optional ChatGPT path. Mac Note Taker's summaries are only as local as the backend you picked.

Is there a Mac Note Taker alternative without a subscription? +

Mac Note Taker is already a one-time purchase at $149 for up to three Macs. Private Notetaker offers a $149 lifetime license as well as $15/mo, so the monthly plan is the rental and the lifetime license is how you stop. Pandecho's one-device lifetime price is $79. Meetily Community is free.

When is Mac Note Taker the better choice? +

When you are on Apple Silicon, you want up to three Macs on one lifetime licence, and you are fine installing Ollama or pointing summaries at your own key. The site also claims 25 languages for on-device transcription, which Private Notetaker does not: we are English only. Test their language list if that is the requirement. We would rather you see the Mac-only fit than pretend the products are identical.

Is there an open-source alternative to Mac Note Taker? +

Meetily. The Community Edition is MIT-licensed, with Mac and Windows installers and local transcription. Local summaries still need a local model. Private Notetaker is closed source, like Mac Note Taker, and bundles the summary model. If you must read the code, Meetily is the one that lets you.

Is Private Notetaker a HIPAA-certified Mac Note Taker alternative? +

No. Private Notetaker does not claim HIPAA certification. We did not find a HIPAA or SOC 2 claim on the Mac Note Taker pages checked 23 September 2026, and this page does not add one. On-device processing means the vendor does not hold the audio. That is an architecture fact, not a compliance badge. Check the requirements for your profession.
